Agree on a small first job
On Fiverr, look for a freelancer who offers eBay listing work. Read their gig details, reviews and examples. Ask whether they write titles, check item details and save drafts, or only copy the information you supply.
Start with a small paid batch, such as five items. Agree on the price, deadline, number of drafts and changes included. Use Fiverr’s order process to agree on the work and send the brief.
Keep one product in each photo group
Give every item a short code, called a SKU. A code like GAME-014 links the physical item, its photos and its listing. Use a separate group for the next item, even when the two products look the same.
Take photos in the PicToPC Android app and save and sync them. Use the same account on the website. Add the title, SKU, condition and notes so your VA does not have to guess.
- Show the front, back, label and included parts.
- Take a clear photo of each mark or fault.
- Keep shelf locations in the stock location field, away from public listing copy.
Give your VA their own login
Standard and Ultra plans include staff and VA access. Open Account & team, find Staff & virtual assistants, enter your VA’s email and choose Add staff. Share pictopc.app/account with them: no invite email is sent automatically. They sign up or sign in with that email, accept the invite within seven days and open your assigned library.
They can view and download photos and see item titles, SKUs, batches, stock locations, notes and condition details. They cannot upload, edit or delete your photos. Check that you are happy to share the information in that library before you invite them.
Send a clear listing brief
Here is a simple brief you can adapt. Keep the SKU the same in PicToPC, your work list and the eBay draft.
- Item: GAME-014 — game console with controller.
- Condition: used; light marks on the top; tested and working.
- Included: console, one controller and power lead.
- Missing or damaged: no box; show the marks in the listing.
- Price: use the price I supply. Ask if it is missing.
- Task: create a draft, include the photos, and send it back for my review. Do not publish.
Set up eBay access separately
A PicToPC invite does not give anyone access to your eBay account. If your VA needs to work in Seller Hub, use eBay Team access and choose the tasks they need. They should use their own eBay login. Do not send them your password.
Your VA can download the item photos from PicToPC and add them to the draft. Check the first draft together before sending a larger batch. Look at the title, condition, included parts, price and photo order.
Close the loop after each batch
Keep a short list of which SKUs are ready, in progress and checked. As the owner, you can mark items as Listed in PicToPC after you have published them.
Download any photos you need to keep before their storage time ends. Remove your VA’s access when the work finishes. Removing access stops future library access, but it cannot remove files they have already downloaded.
